Terms & Conditions


1. Travel Responsibility
All guests are responsible for arranging their own travel to and from the tour's starting point. This includes international flights to Cape Town or Johannesburg, as well as any necessary visas, vaccinations, and travel documentation. Soul of South Africa Tours is not responsible for any costs, delays, or issues related to flights or immigration.

2. Deposit & Payment Policy

  • A 50% deposit is required to secure your reservation.

  • The remaining balance is due no later than 4 weeks (28 days) before the start of the tour.

  • Reservations made less than 4 weeks before the tour start date must be paid in full at the time of booking.
     

3. Cancellations & Refunds
If you must cancel your reservation, the following policy applies:

  • More than 30 days before tour start: 70% refund of total payment (excluding non-refundable deposit)

  • 15–30 days before tour start: 30% refund of total payment

  • Less than 15 days before tour start: No refund

Please note that certain fees and bookings made on your behalf may be non-refundable regardless of timing.

4. Travel Insurance Requirement
All travelers are required to have comprehensive travel insurance that includes:

  • Trip cancellation and interruption coverage

  • Emergency medical coverage (including COVID-19-related treatment)

  • Emergency evacuation and repatriation

  • Coverage for personal belongings and baggage

Proof of insurance may be requested prior to tour departure. Soul of South Africa Tours will not be held liable for any costs incurred due to lack of appropriate coverage.

5. Health & Medical Concerns
You are responsible for ensuring that you are medically fit and able to participate in all tour activities. Any health conditions, dietary needs, or physical limitations must be communicated to us in advance.
We reserve the right to refuse participation in any activity if it presents a health or safety risk.

6. Tour Changes & Force Majeure
Soul of South Africa Tours reserves the right to:

  • Modify the itinerary due to weather, availability, or unforeseen circumstances

  • Substitute accommodations or activities of similar value where necessary

  • Cancel a tour due to insufficient bookings or force majeure (natural disasters, pandemics, political unrest, etc.)

In such cases, we will make every effort to provide alternative options or issue a partial refund as appropriate. We are not liable for any additional costs you may incur.

7. Behavior & Conduct
We expect all guests to behave respectfully toward fellow travelers, staff, guides, and local communities. Disruptive or dangerous behavior may result in immediate removal from the tour at your own expense,
without refund.

8. Liability Waiver
By booking a tour with Soul of South Africa Tours, you acknowledge and accept that participation involves inherent risks, including but not limited to: physical activity, transportation, wildlife encounters, and environmental conditions.
Soul of South Africa Tours, its staff, and partners will not be held liable for injury, illness, loss, damage, or delay unless caused by gross negligence or willful misconduct.

9. Use of Photos & Media
We may take photos or videos during the tour for promotional use. If you do not wish to appear in any such media, please notify us in writing before the tour begins.
